Privacy Policy

1. Who We Are
Build The Show is operated by Katherine Clarkson (operating as Build The Show), located in Courtenay, British Columbia, Canada. We are responsible for the personal information we collect through this platform.

2. What Information We Collect
We collect the following types of personal information:
- Account information: name, email address, password (encrypted), date of birth
- Profile information: display name, pronouns (optional), phone number (optional), headshots and profile photos
- Audition submissions: experience, skills, conflicts, role preferences, uploaded headshots or files
- Guardian information: name and contact details, collected only for profiles of users under 18
- Organization data: organization name, address, contact email, production details
- Usage data: IP address, browser type, pages visited, session length
- Communications: messages sent through the platform
3. Why We Collect It
We collect this information to:
- Create and manage your account and profiles
- Allow organizations to run auditions and casting processes
- Connect performers with theatre productions
- Send you notifications related to productions you are involved in
- Improve the platform based on usage patterns
- Apply appropriate privacy protections based on age
We do not sell your personal information. We do not use your data for advertising.
4. How We Use Your Information
Your information is used only for the purposes described above. We use Supabase to store and manage data securely. We do not use analytics tools that track individual users. We will never share your personal information with third parties for marketing purposes.
5. Consent
By creating an account, you consent to the collection and use of your personal information as described in this policy. You may withdraw consent at any time by contacting us or deleting your account.
Withdrawing consent may limit your ability to use certain features of the platform.
For users under the age of 13, a parent or guardian must provide consent on their behalf.
6. Children and Minors
Build The Show is designed to support youth theatre and may be used by individuals under the age of 18. For users under 13, a parent or guardian must create and manage the account. Users under 13 cannot create an account on their own behalf.
We treat all information relating to minors as sensitive and apply the highest level of protection to it. Parents and guardians may request to review, correct, or delete their child's information at any time by contacting us at privacy@buildtheshow.com.
When a user is between 13 and 17, we provide simplified, age-appropriate privacy notices and offer parental visibility options upon request.
7. Data Storage and Security
Your data is stored securely using Supabase, with servers located in the United States. We use encrypted connections (HTTPS) for all data transmission. Access to personal data is restricted to authorized team members who require it to operate the platform.
We use row-level security controls to ensure users can only access their own data, and role-based access to limit what organization members can see.
Despite our best efforts, no system is 100% secure. In the event of a breach that creates a real risk of significant harm, we will notify you and the Office of the Privacy Commissioner of Canada as required by law.
8. How Long We Keep Your Data
We retain your account information for as long as your account is active.
Audition submission data is retained for 12 months after the production closes, then deleted or anonymized.
If you delete your account, your personal information will be permanently removed within 30 days. Production records you have been part of will be anonymized (your name replaced with a placeholder), so production history is preserved without identifying you.
We may retain anonymized, non-identifiable data for platform improvement purposes.
Data relating to minors is deleted or anonymized more aggressively. This happens within 30 days after a production closes, unless a guardian has consented to longer retention.
9. Your Rights
Under Canadian privacy law (PIPEDA), you have the right to:
- Access the personal information we hold about you
- Correct inaccurate information
- Request deletion of your account and personal data
- Withdraw consent for non-essential data uses
- Know how your information is being used
To exercise any of these rights, contact us at privacy@buildtheshow.com. We will respond within 30 days.
You can edit your profile at any time from your account settings. You can delete your account from the Settings page. Deletion is permanent, not just deactivation.
10. Data Breach Notification
If a security breach occurs that creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as soon as feasible, as required under PIPEDA.
We maintain records of all security incidents for a minimum of 24 months as required by law.
11. Third-Party Services
We use the following third-party services that may process your personal information:
- Supabase (database, authentication, file storage): supabase.com/privacy
- Resend (transactional email delivery): resend.com/legal/privacy-policy
These providers are bound by their own privacy policies and applicable law. We do not share your personal data with third parties for advertising or marketing purposes.

If you have a concern about how we handle your personal information and are not satisfied with our response, you have the right to file a complaint with the Office of the Privacy Commissioner of Canada:

13. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes by email or by posting a notice on the platform. Your continued use of the platform after changes are posted constitutes acceptance of the updated policy.

Automated Decision-Making
Build The Show does not currently use automated processes to make significant decisions about individual users. Search results and profile displays are based on explicit user queries and filters, not algorithmic ranking that materially affects individuals. No significant decision - including account suspension or access to features - is made solely by automated means without human review. If this changes, we will update this policy and notify users. If you are a Quebec resident and have been affected by an automated decision, you have the right to be informed of the personal information used and to request human review. Contact us at privacy@buildtheshow.com to make this request.
Data Portability
You have the right to receive a copy of your personal information in a structured, commonly used, and machine-readable format. To request a data export, contact us at privacy@buildtheshow.com. We will provide your data within 30 days of your request. Your export will include your profile information, account data, and any records associated with your account. If you are a Quebec resident, you also have the right to request that we transmit your data directly to another organization where technically feasible.
Embedded Third-Party Content
Some pages on Build The Show may include embedded content from third-party platforms (such as YouTube videos or social media posts). This embedded content behaves as though you visited the third-party website directly. These platforms may collect data about you, use cookies, and track your interaction with the embedded content. Build The Show does not control this data collection. Please review the privacy policies of the relevant platforms for more information.
How to Make a Privacy Complaint
If you have a concern about how Build The Show handles your personal information, please contact our Privacy Officer at privacy@buildtheshow.com. Include a description of your concern and any relevant details. We will:
- Acknowledge your complaint within 5 business days
- Investigate the matter and provide a written response within 30 days
- Take corrective action where appropriate
If you are not satisfied with our response, you may file a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca or 1-800-282-1376.
